Questions
Questions advisers ask.
Plain answers about setting up, recording, the summary, privacy and billing.
Getting started
Do I need IT to set it up?
Usually not. CareersNote runs in your web browser, so there's nothing to install. If your school blocks new websites, IT may need to allow careersnote.com.
What device do I need?
A laptop or computer with a microphone and an up-to-date browser. Most laptops' built-in microphones work well across a small table.
Does it work with my accent?
It listens for the accent of the country you choose when you sign up. Some names and local words may need a quick fix, and you can edit anything before it's sent.
How do I get my students in?
Add them one at a time, or upload a spreadsheet from your school system. Getting your students in explains each route and exactly which details we use.
How long does it take to get going?
A few minutes. Sign up, add a student in about 30 seconds, and you're ready for your first conversation.
In the conversation
What if the wifi drops?
CareersNote tells you straight away.
Can I pause?
Yes. Press Pause any time, for a knock at the door or a private moment, and Resume when you're ready.
What if the student says something private?
You can pause the recording, and you can remove anything from the summary before it's sent. If something suggests a wellbeing concern, CareersNote shows you a private note on screen and never includes it in anything sent. Your school's own process applies.
Do I have to look at the screen?
No. The live transcript is there if you want to glance at it. Most of the time you can just talk.
The summary
Can I edit it?
Yes. It's a draft until you approve it. Change any line, add or remove next steps, then approve and send.
How accurate is it?
It's a strong first draft, written from what was actually said. You're the expert in the room, so you check it before it goes anywhere.
What if it gets something wrong?
Fix it before you approve. Nothing is sent until you've checked it and pressed Send.
Why are the headings always the same?
Interests, Pathways discussed and Next steps make every summary easy to read, and easy to pick up from next time.
Privacy
Does the student need to agree?
Yes. You ask before you start and tick to confirm they agreed. If they say no, write a short note by hand instead.
Where does the recording go?
Names are removed, the audio is processed in Australia and the recording isn't kept. The full transcript is deleted once you approve the summary.
Is it used to train AI?
No. The AI provider can't use your conversations to train its models.
What can I give my principal or board?
A privacy impact assessment, privacy statement and data processing summary, ready to forward. Find them on the privacy page.
Plans and hours
What counts as an hour?
Only recorded minutes. Writing notes by hand, reading summaries and sending them don't use any hours. Hours are shared by everyone at your school.
Do unused hours carry over?
Yes. Your hours never expire. Anything you don't use carries over to next year.
How do I add hours?
When paid plans arrive in your country, in one click from inside CareersNote. Added hours are available straight away and invoiced to your school.
How does renewal work?
Your plan renews each year. The renewal invoice arrives 30 days before your renewal date, so there’s time for a purchase order. Change plan or cancel any time before then.
What's included in the free trial?
10 free conversations with real students, each up to an hour.
What happens after the trial?
Your summaries stay saved. Choose a plan when you're ready, and we invoice your school.
Can we pay by purchase order?
Yes, once paid plans arrive in your country. Your free trial works now, and prices will be shown in your local currency. See all plans.
Do I need WorkX to use it?
No. CareersNote works on its own. It’s made by WorkX, the team behind a programme management tool for NZ secondary schools.
